What Chronic Absenteeism Data Doesn’t Tell You

Schools have more attendance data than ever. Dashboards show chronic absence rates by grade, by school and by student group. That data is valuable: it tells you where to look. But a list of names and percentages can’t tell you what to do next.

A student who has missed 15% of school days because of asthma needs something completely different from a student who has missed 15% because they’re caring for a younger sibling. On the dashboard, they look the same.

What the numbers do tell you

What they don’t tell you

Patterns worth a closer look

Before you even talk to a family, the data can give you clues. Train your team to notice patterns like these, and treat them as questions to ask, not conclusions:

Getting to the “why”

The only reliable way to understand an absence is to talk with the student and family. That conversation goes better when your team has a consistent approach:

  1. Open with concern, not consequences. “We’ve noticed, and we want to help” sets a very different tone than “You’re in violation.”
  2. Ask open questions. “What does a typical school morning look like?” reveals more than “Why was he absent?”
  3. Listen for more than one barrier. They usually come in combination.
  4. Write down what you learn, in a structured way, so the next person on your team doesn’t start from zero.
Data tells you where to look. Conversations tell you what you’re looking at.

Close the loop

When your team consistently records why students are absent, something powerful happens: your data starts to tell you more. You can see how many students are affected by transportation, or housing, or anxiety, and you can make the case for the resources your school actually needs.
